Membership Application

Club means ECU Student Pool Sharks, also referred to as ECUSPS.

Member means an individual holding an active membership with the Club.

Applicant means an individual applying to become a Member.

Executive Committee Member means an authorised member of the ECU Student Pool Sharks Executive Committee.

Management includes Edith Cowan University, ECU Security, ECU staff, ECU Student Guild staff, ECU Student Pool Sharks Executive Committee Members, Birra Bar management and staff, and Slice of Italy management and staff.

Members must conduct themselves respectfully, safely and responsibly during Club activities, events and communications.

Misconduct may result in disciplinary action depending on the nature, seriousness and circumstances of the conduct.

• Physical violence, assault, intimidation or threatening behaviour.
• Harassment, bullying, humiliation or discrimination.
• Abusive, offensive or inappropriate behaviour or language.
• Deliberate damage to property or equipment.
• Dishonest, fraudulent or deliberately misleading behaviour.
• Conduct that places another person at risk.
• Conduct that brings the Club, ECU, the ECU Student Guild or a participating venue into disrepute.

Members should report behaviour, circumstances or activity that appears unsafe, inappropriate, suspicious or inconsistent with Club rules.

Concerns may be reported to an Executive Committee Member or an appropriate member of Management.

Members must play fairly, respect the game and follow the rules applying to each competition, tournament or activity.

• Respect opponents, officials, volunteers and spectators.
• Follow event and tournament rules.
• Handle Club and venue equipment responsibly.
• Accept gameplay decisions respectfully.
• Promote fair play and good sportsmanship.

Members must comply with lawful and reasonable directions issued by Management.

Management may enforce applicable rules, refuse entry or participation, suspend gameplay or remove a person from an event or premises where necessary for safety, security, compliance or good order.

A decision may be reviewed where credible and sufficient evidence indicates that it was based on incorrect or incomplete information.

Safety, privacy and security are fundamental priorities of the Club.

Members should promptly report circumstances that may compromise a person's safety, privacy or security.

• Personal safety concerns.
• Privacy or unauthorised disclosure concerns.
• Suspicious or threatening behaviour.
• Security risks.
• Potential breaches of Club or venue requirements.

Current ECU students remain bound by all applicable ECU regulations, policies, rules, codes of conduct and compliance requirements.

These Responsibilities and Duties do not replace or override obligations imposed by ECU, the ECU Student Guild, participating venues or applicable law.

Certain Club activities, particularly events held at licensed venues, may be restricted to people aged 18 years or older.

Where identification is required, Members must provide sufficient evidence of their identity and age.

• A valid Driver's Licence.
• A valid Passport.
• A government-issued Photo Identification Card.
• Another government-issued photographic identity document approved by Management.
• Original physical identification is preferred.
• Verified digital identification may be accepted at a later date or on the spot where it can be satisfactorily verified.
• Screenshots, edited images or unverifiable copies may be refused.
• Where identity or age cannot be satisfactorily verified, entry or participation may be refused.

A Member may resign from ECU Student Pool Sharks at any time by contacting an Executive Committee Member.

Any outstanding investigation, payment or obligation arising before resignation may continue to be handled under applicable Club policies.

By submitting a membership application and accepting membership, you confirm that you have read, understood and agree to comply with these Responsibilities and Duties, the Club Constitution and applicable Club policies.

These obligations apply until your membership expires, you resign or your membership is suspended or terminated.

Personal Information means information that identifies or could reasonably identify an individual.

The Club may collect your full name, preferred name, pronouns, date of birth, email address, phone number, ECU affiliation, student number, membership status, membership history, event registrations and other information you voluntarily provide.

Personal Information is collected for membership administration, auditing, record keeping, contacting Members and Applicants, reviewing applications, maintaining the Register of Members, event administration and reporting obligations.

Date of birth information may be used to confirm eligibility for events restricted to people aged 18 years or older.

Your phone number may be used where email communication is unsuccessful, your application requires clarification, or contact is reasonably necessary for membership administration, safety, urgent Club matters or event operations.

Information may also be used for reporting to ECU or the ECU Student Guild where reasonably required.

The Club will take reasonable steps to store Personal Information securely and protect it from unauthorised access, loss, alteration or disclosure.

Access will be limited to authorised Executive Committee Members and other authorised persons who reasonably require the information to perform their duties.

The Club does not sell, rent or trade Personal Information.

Information may be disclosed to ECU, the ECU Student Guild, participating venue management, emergency services, law enforcement or another relevant authority where reasonably necessary, legally required or required to protect safety.

You may request details of the Personal Information that the Club holds about you at any time.

You may also request that inaccurate or incomplete information be corrected.

Requests may be submitted to an Executive Committee Member or through an authorised Club contact channel.

Personal Information will be retained only for as long as reasonably necessary for membership administration, auditing, reporting, legal compliance, dispute handling and legitimate Club record keeping.

Information that is no longer reasonably required may be securely deleted or permanently anonymised.

By applying for or maintaining membership with ECU Student Pool Sharks, you acknowledge that you have read, understood and agree to this Privacy Policy.
